AI receptionist

Every call answered. Every message in your inbox a minute later.

A small business loses work to the phone it could not pick up: the engineer under a sink, the van on the motorway, the call at ten at night. Our AI receptionist answers that line. It says up front that it is an AI, answers the questions you have given it the facts for, takes the caller's name, number, address and what they need, and emails it to you before they have put the phone down. It never quotes a price and never confirms a booking on its own, so the call back is still yours to make. You keep your number; we set up the line, write what it knows with you, and keep it running.

24/7

answered, nights and weekends included

The calls that go to voicemail are mostly the ones that come in while you are working, and most callers do not leave a message: they ring the next name on the list. A receptionist that picks up on the second ring turns those into a name, a number and a job description in your inbox.

How it works

From the first ring to your inbox

  1. 01

We write its brief with you

Your services, hours, the area you cover, the questions to ask every caller, and when a call should come straight to you.

  2. 02

    You forward your number

All the time, out of hours, or only when nobody picks up. Customers keep ringing the number they already have.

  3. 03

It answers and takes the details

It says it is an AI, answers from the facts you gave it, and reads the caller's details back to make sure they are right.

  4. 04

The message is in your inbox

Who called, the number to ring back, what they need, how urgent it is, and the full transcript, as soon as they hang up.

An example call

What your callers hear

An example, written for this page: a plumbing firm's line at ten at night. The real one uses your name, your services and your questions.

ReceptionistThanks for calling Northside Plumbing. I'm the virtual receptionist, an AI, and this call is transcribed. How can I help?

CallerHi, the pipe under my kitchen sink has started leaking. How much would it be to fix?

ReceptionistI'm sorry, that sounds stressful. I can't give prices on the phone, but I'll take the details so the team can call you back with one. Is the water still coming out, and have you been able to turn it off?

CallerI've turned the tap off under the sink. It's just dripping now.

ReceptionistGood, that helps. Can I take your name, the best number to call you on, and the address?

CallerSam Patel, 555 014 2290, 14 Elm Street.

ReceptionistThanks, Sam. That's 555 014 2290, at 14 Elm Street, a leak under the kitchen sink that's now dripping with the water off. I'm sending that to the team now, and someone will call you back with a price.

What we build

The pieces

Answers in a natural voice

Google's newest voices, in a US, UK, Australian or Indian English accent. Callers can interrupt it the way they would a person, and it keeps up.

Takes the message properly

Name, the number to call back, the address, what they need and how urgent it is, read back to the caller to make sure it is right. You choose the questions.

Emails you straight away

The message, the urgency and the full transcript, the moment the call ends. Emergencies are marked in the subject line so they stand out on a phone.

Puts urgent calls through

Optionally, it transfers the caller to your mobile when the rules you set say so: emergencies, a named person, working hours only.

Knows your business, and only that

It answers from the facts you give it: services, hours, the area you cover. Anything else, it takes a message about rather than guessing.

Tells callers it is an AI

Every call opens by saying so, and that the call is transcribed. It is the law in more places every year, and callers trust it more for being straight with them.

What it will not do

Safe to put on your line

A receptionist that guesses is worse than voicemail. These are the rules every one of ours runs on, and the reason a call back is still yours to make.

01

It never quotes prices or promises times

It is instructed never to, and every call is checked afterwards. A call where it slipped is flagged to us and the instructions are fixed.

02

Your customers' details stay private

Calls are transcribed, not recorded as audio, and stored in a private database. Only you and the TechSolve team can read them.

03

You can change what it says

New service, new hours, a holiday closure: tell us, and the next call uses it.

Where it works

What people use it for

If one of these is roughly your situation, we have built the shape of it before.

Trades and home services

Plumbers, electricians, appliance repairers, locksmiths: the job that rings while you are on another job gets a name, an address and a description of the fault.

Recovery and roadside

Night calls answered, the caller's location and vehicle taken, and an emergency put through to whoever is on call.

Clinics and salons

After-hours calls answered and appointment requests taken, so the front desk starts the morning with a list rather than a voicemail box.

Out-of-hours cover

Keep your own team on the phone during the day and forward the line to the receptionist in the evening, at weekends, or whenever nobody picks up.

Packages

Three ways to scope it

A monthly fee and the calls it answers, agreed in writing before it goes live. Tell us how many calls you get and when, and one price comes back.

Message taker

Answers, takes the message and emails it to you.

Answering your calls before the paperwork is finished

  • A receptionist that knows your services and hours
  • Your own questions, asked on every call
  • Every message and transcript by email
  • Works with your existing number

Questions

The things people ask

Will my callers know they are talking to an AI?

Yes. Every call opens by saying so, and that the call is transcribed. We will not build one that pretends to be a person: it is unlawful in more places every year, and callers who find out afterwards trust the business less, not more.

Can I keep my existing phone number?

Yes. You forward your number to the receptionist's line, either all the time, out of hours, or only when you do not answer. Your customers keep ringing the number they already have.

Does it book appointments?

By default it takes the request and your team confirms it, so nothing is booked that you cannot honour. On the Front desk package it can write the request straight into your booking system.

What happens to the message?

It is emailed to you the moment the call ends: who called, the number to ring back, what they need, how urgent it is, and the full transcript.

Will it quote my prices?

No. It is told never to give a price, a discount or a time, and every call is checked afterwards. Prices are for you to confirm when you call back.

What if the caller wants to speak to a person?

It can put them through to your mobile when the rules you set say so, such as an emergency or a named person during working hours. Otherwise it takes a message and tells them when to expect a call back.

What does it cost?

A monthly fee plus the calls it answers, agreed in writing before it goes live. Tell us roughly how many calls you get and when, and we send back one price.

Which languages does it speak?

English today, with a US, UK, Australian or Indian accent. Other languages are possible; ask.

Stop losing the calls you can't pick up

Tell us what your business does and roughly how many calls you get, and we’ll come back with a written setup and one monthly price. We reply within 24 hours, and there’s no charge for the conversation.
